LENAX is looking for a Senior Administrative Assistant.  The Administrative Assistant will support senior-level leadership, and performs a variety of routine and non-routine, administrative, clerical and data collection tasks, in accordance with established procedures, in support-of and at the direction of the position’s supervisor.

 

Key Identifiers for the Position

  • 3-5 years’ experience in a dynamic, demanding corporate environment. Aviation and/or project management experience a plus
  • Bachelor’s degree
  • Strong time management skills; and able to handle multiple concurrent assignments with a high degree of accuracy, meeting deadlines in a high-pressure environment and follow through on assignments
  • Proficient in Microsoft Office software including Outlook, Excel, Word, Publisher and PowerPoint

 

Essential Job Duties - The Administrative Assistant’s duties include, but are not limited to the following

  • Provide administrative support to CEO and Special Projects Coordinator.
  • Manage and maintain CEO high volume schedule, including the coordination of complex meetings with hundreds of participants across global time zones.
  • In accordance with established procedures, perform a variety of routine and non-routine administrative, clerical, and data collection tasks for supervisor.
  • Scan, fax and bind documents, reports, and proposals as required.
  • Distribute reports as directed by immediate supervisor.
  • Prepare general correspondence and maintains files.
  • Answer telephone, take and relay messages, screen callers and direct calls accordingly.
  • Receive, sort, and distribute mail.
  • May initiate requests for service.
  • Maintain an organized work space by keeping documents and supplies properly stored.
  • Perform other responsibilities associated with this position as may be appropriate.
  • Organize all travel for CEO.
  • Aid visitors coming to Client offices.
  • Assist with various ad-hoc tasks for the team, this includes troubleshooting issues with office equipment or facility requests, as well as handling inventory of supply stock and insuring all workstations are fully functional.

 

Job Qualifications - To effectively perform the essential functions of the job, candidates must meet the following position specifications

  • Education/Training
    • Bachelor’s Degree.

 

  • Professional Experience Level/Other Qualifications
    • Meticulous attention to detail and organization and appreciation for a high level of professionalism and discretion
    • Responsive and can communication with a can-do attitude, while understanding priorities
    • Demonstrate an ability and willingness to continuously acquire new competencies and accept new challenges
    • Ability to prioritize and thrive in a fast-paced environment
    • 3-5 years’ experience in a dynamic, demanding corporate environment. Aviation and/or project management experience a plus
    • Demonstrated drive, enthusiasm, self-motivation and cooperative attitude
    • Able to be agile and flexible in response to changing priorities and needs
    • Excellent written, verbal and visual communication skills
    • Strong analytical skills
    • Strong time management skills; and able to handle multiple concurrent assignments with a high degree of accuracy, meeting deadlines in a high-pressure environment and follow through on assignments

 

  • Hardware/Software Knowledge
    • Proficiency in Microsoft Office Suite of software is required (Outlook, Excel, Word, Publisher, PowerPoint);
    • Demonstrated proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, and database software, is required.
    • Prolog Construction Project Management Software, a plus

 

  • Other Competencies
    • Self-starter, multi tasker;
    • Ability to bring assignments to completion independently;
    • Ability to work in a high volume, dynamic team environment;
    • Proven record of accomplishments of office administration;
    • Flexible attitude to changing conditions’;
